How can I download and install CheckedSafe App?

You can download the CheckedSafe Vehicle Compliance App on Android here and for Apple here.

Once the download as finished, you will be asked to accept certain permissions which would include “Camera and GPS”.

Please accept all permissions to enable the App to function fully.

How do I log into the CheckedSafe App?

Each user will be given a unique login and password, this will either be issued by your Transport Manager, anyone who is administrating the system or ourselves-Simply open the CheckedSafe App and enter your login credentials

I can't seem to login with my username or password?

Please verify that you have either 3/4g or Wifi, if you have network coverage and you still can’t login please verify your login credentials with your line/transport manager. The CheckedSafe App will work offline once you have been logged in.

Will the App work offline?

Yes, it does! You are able to carry out a check online or offline however, you need to be logged into the App for this to work. If you remain logged in and then undertake a check where there is no network connectivity, you can carry out the check as normal. At the end when you sync the check a message will appear letting you know that the check has been saved to the device but not sent due to network coverage.

Once back in a 3/4g or wife area, simply go to <Home < Main Screen< and press “Sync” this will then send the check and relevant images to the system.

I don't have any network connection

Very similar to the above answer. You are able to carry out a check with no network connection however, you need to be logged into the App for this to work. If you remain logged in and then undertake a check where there is no network connectivity, you can carry out the check as normal. At the end when you sync the check a message will appear letting you know that the check has been saved to the device but was not sent due to network coverage.

I've entered the vehicle/asset number but it says "Vehicle Registration Not Found"

All vehicles need to be populated in the system/database before any check can be undertaken on it, if you’ve received “Vehicle Registration Not Found”, this would indicate that the vehicle is not live in the system, this could be for any of the following reason:

  • The vehicle has not been entered into the system
  • The vehicle is marked as VOR (short-term hire returned, service or other maintenance)
  • The vehicle has been ended (Sold or scrapped)

Some clients have the option of a “Manual” check for Hire or temporary vehicles. Please check with your line manager

What is "Choose From Previously Used"?

This is a drop-down list of all the previously checked vehicles that have been undertaken on that particular device- simply scroll down to the desired vehicle registration or asset number, select and then press “Vehicle Check”

This list will only show the previously checked vehicles and it won’t show a full fleet list.

When should I use the "Manual Check" button?

The manual check button can be used for either Non-Fleet Vehicles or Dynamic Risk Assessments.

If you are using for Non-Fleet Vehicles please ensure that you take a picture of the vehicle registration plate that the check will be carried out on, this is needed for verification purposes.

I can't take pictures from within the App?

Please ensure that you have enabled “Camera” in the App settings.

When you first download the App you would have been asked to accept certain permissions. To check which permissions you accepted please go to your settings and search for “CheckedSafe”. You will now be able to view all the permissions that you granted and if the “Camera” is not ticked, please either tick or slide to accept.

How much of my data will the CheckedSafe App use?

We compress all the information collected in the report and send the check element first and the images second, this enables us to reduce the data usage to a minimum as by way of example, a check with 3 images uses approx 350kb of data.

How can I access the back office?

Simply click the here and enter your username and password.

Only users with “Transport Manager” or “Engineer” login credentials can access the CheckedSafe Compliance Management System.

When I enter my login credentials I get an "Access Denied" message

Please check with your Line/Transport Manager who will ensure that you have been given either “Transport Manager” or “Engineer” access alternatively, please contact us using the form below and we will verify this for you.

Which browser will the back office work best on?

The CMS/Back office is rigorously tested on all browsers however, we find it works better on Google Chrome

Team: How do I View, Add and Assign Checks

In the left-hand menu bar, click “Team”

Here you can:

  • View Team
  • Add/Edit Team
  • Assign Checks

Assigning checks to individual team members is a great way to focus the check options available to your team.

For example, if your company/depot requires 6 different vehicle checks for the entire fleet however not all of your drivers/users will drive all the different vehicle types within your fleet so they only need to see the checks which are relevant to them-You simply untick the checks that the driver/user does not require.

Vehicles: How do I View, Add and View Mileage

In the left hand menu bar, click “Vehicles”

Here you can:

  • View Vehicles (Current vehicle list and defects)
  • Add/Edit Vehicles
  • View Vehicle Mileage

How do I view all my vehicle/asset checks?

In the left hand menu bar, click “Checks and Inspections”

Here you can:

  • View Checks and Inspections
  • View Active Defects

You can view all your daily vehicle checks by simply pressing “Checks and Inspections”. The resulting page will show all your vehicle checks in date/time order.

You can search by date/user and vehicle/registration no and much more.

If you only want to see your any outstanding defects simply press “View Active Defects”.

Why are Images missing from the daily checks?

If you receive a check and there are no images on the resulting page, there can be a couple of reasons for this.

First Time User

If this is the first time that a driver/user as carried out a check and you have received the check but no images, the user may not have enabled “Camera” permissions when they installed the CheckedSafe App.

They can reset the permissions by searching for CheckedSafe within their App settings and toggle the “Camera” setting to ON.

Previously Received Images

If you have previously received images when a check has been completed but on this occasion you haven’t, this can be down to a signal issue.

When a check is Sync’d, we separate the images from the report which helps to compress the data and you will receive the report first. On rare occasions they may not be enough network coverage to send the images as these can be slightly bigger file size than the initial report-Don’t worry the images are safe and will be sent to the relevant report when either the App is re-sync’d or the user carries out another check.

Why cant' I see the location of where the check was carried out?

If you receive a check and there is no location/map showing where the check was carried out, there can be a couple of reasons for this.

First Time User

If this is the first time that a driver/user as carried out a check and you have received the check but no location, the user may not have enabled “GPS” permissions when they install the CheckedSafe App.

They can reset the permissions by searching for CheckedSafe within your App settings and toggle the “GPS” setting to ON.

Previously Received Images

If you have previously received location information when a check has been completed but on this occasion you haven’t, this would normally indicate that the driver/user as turned off their location settings.

Why can't I see the movement taken to carry out the check?

The “Compass” element of the check enables you to view the driver/users movement whilst carrying out the check, thus ensuring that they are walking around the vehicle.

The CheckedSafe App uses the accelerometer (sometimes called a G-Sensor) on the mobile device to monitor the movement taken and although most mobile phones and tablets are fitted with one some don’t.

Please check with the mobile device brand to ensure that an accelerometer (G-Sensor) is fitted or feel free to contact us for more information.

How much is the CheckedSafe App?

Our Checkedsafe App is actually free and can be downloaded for Apple on iTunes and Google play for Android.  Once you have downloaded the App you will need to contact us so we can set up a demonstration username and password for you to access the app. You will also receive a 30 day trial of our Checkedsafe Management System, this is the reporting element of the Checkedsafe App which receives all the data from your mobile device (s) and creates detailed reports based on your driver’s findings. There is a weekly fee per vehicle after the 30 day trial expires which our customer service team will be happy to go through with you, surprisingly it is less expensive than conventional paper reporting. Not for you! That’s fine, your trial will simply end and you won’t be charged, we don’t ask for any payment details whilst you are trialing the App so you have nothing to lose.

Our Drivers don't have a Smart Phone

Although CheckedSafe is predominantly a compliance software company we have negotiated with some of the leading mobile phone companies to bring you the CheckedSafe bundle package, smartphones and the Checkedsafe App for one low monthly fee (subject to contract)

Defect books are inexpensive, so how can we save money?

We agree, defect books aren’t expensive at all, the real cost is in the time spent collecting, storing and inputting the data into a computer. A paper defect book is labour intensive, not easily collated, requires double handling as well as lacking analysis and not to mention difficult to defend. In actual fact, we recently met with a transport company who stated that the CheckedSafe App was 90% cheaper than their current method of paper reporting

Where do the daily walk around checks go to?

All the information recorded on the CheckedSafe App is sent in real time (data connection required) to your Transport Manager or designated responsible person, This will show all driver vehicle checks recorded and more importantly identify failed vehicles, which your Transport manager or designated responsible person to act on. This same report can also be sent to the maintenance department for the ordering of parts and arranging the mechanics schedule.

Which industry is Checkedsafe for?

Checkedsafe uses different templates for daily walk around checks for HGV, PSV, LGV, taxi’s, Emergency services and fleet hire, all based on DVSA guidelines and legal compliance, if there are any changes in legislation or to the DVSA compliance guidelines, your template will be automatically updated to reflect these changes. It can be used for absolutely any vehicle.

Can the Checkedsafe template be tailored to my needs?

Yes, we can change elements of the template to suit your needs, we can add items to check and personalise it however, and we can’t remove any of the DVSA compliance checks

Is Checkedsafe just for Daily walk around Checks?

No, the “Driver Daily Walk Around Check” is just one element of the App, you can use “In Service Defect” to record defects as they happen, the “In Service Check” for shift changes in the same vehicle and the “Accident Report” for reporting any accident that would not be classed as a defect all for one low fee. What if one of my drivers is stopped by the DVSA or Police?

Checkedsafe retains the full Daily Walkaround Check report for your vehicle, which is date stamped and CANNOT be manipulated so your driver can simply display via their handheld a chronological list of events for that vehicle, this is similar to the paper version but in real time and without the hassle of paper shuffling.

Can CheckedSafe help me with a Public Inquiry?

Yes, if your public inquiry is relating to poor maintenance and driver walk around checks (paper checks) , we believe that if you can demonstrate to the Traffic Commissioner that you are employing new methods of reporting by using Checkedsafe which complies with the latest DVSA guidelines and legal compliance as opposed to your current methods, this should be enough to convince them that no sanctions are required. It also gives you contemporaneous data that is secure and NOT maniputable

Are Checkedsafe just another App company?

No not at all, unlike other daily walk around App companies out there, we don’t build App’s for a living in the hope that one of them will take off. Our directors are from the transport industry and legal profession, who developed Checkedsafe with their experience of the issues surrounding the industry relating to daily walk round checks and compliance issues. They wanted a simple but effective solution to eradicate the issue of either non compliance or partial compliance with the legislation. The Checkedsafe App was developed from both an experienced operators point of view with detailed knowledge of the problems and a legal prospective as opposed to a speculative add on afterthought to an existing software platform as so many of our competitors seem to do.
