Monitoring daily checks carried out on paper is a problem for most organisations but thankfully there is a now a better way. It is now possible to do the same check on a smartphone or tablet via a digital App.
Checkedsafe have partnered with and been endorsed by the FLTA. to digitise the daily forklift inspection check. The new App digitises the current fork lift inspection document, removing paper based systems thus enabling the driver to complete a check/ first user check from their smart phone.
This allows the driver carrying out the inspection to speed up the process and submit the results in real time from the App. Drivers can also add detailed notes and take pictures of faults and the actions they took to correct them. Once the check is finished, the report is sent and is viewable on the Checkedsafe Compliance Management System (CMS).
All failed Fork Lift checks will automatically generate an immediate notification which will be sent to your line manager or administrator for inspection and guidance. The CMS suite will automatically store the recorded data which can be downloaded in PDF or excel format for further analysis and KPI.
There is a proven saving by removing the paper based fork lift check and moving to a digital check. This is not only in relation to the storage of all paper cards but on distribution, collection and manual data entry of each card.

“The CheckedSafe system is a means of carrying out the mandatory and legally required daily checks for Fork Lift Trucks and ancillary equipment digitally. Currently most checks are carried out using a paper based system but of course that has significant limitations. The CheckedSafe system replaces the paper check with a digital check and has two parts to it.
The first part is whereby the Fork Lift Truck daily check is carried out via an App on either a smartphone or tablet. The App replicates the paper check so for the user there is familiarity and ease of use.
As the user does the check the date and time of the check are recorded, the GPS location, the time stamp for each check, the time stamp for the overall check and the movement of the user monitored as the user moves around the FLT thus ensuring a full and effective check. Any defects found can be photographed and recorded as the check is carried out.
The second part of the system is the management back office which shows the checks that have been carried out, defects recorded and analysis of the data collected. It is here where employers can see who has carried out their checks, who hasn’t, how long the checks have taken, the defects that have been recorded and importantly evidence that the user has actually done the check properly. Put simply it is very very difficult for a user to cheat the system so if a user hasn’t done their checks properly the system shows the employer that information so standards can be improved.
One of the key benefits of the system is that it allows safety standards to improve. It provides accountability by reason of a full audit trail and credibility in that employers are actually monitoring their employees and equipment to prevent issues arising before they have a chance to develop.
